ROSEN is looking for a Travel Coordinator that will be based in Houston, TX. This position reports directly to the NDIA Business Line Manager and will be part of the NDIA team.
What role you will play in our team
The Travel Coordinator is responsible for organizing and supporting all aspects of company travel, including booking transportation and accommodations, ensuring compliance with travel policies, and maintaining accurate travel records. This role also handles administrative financial duties such as processing payroll, generating and tracking invoices, and ensuring timely retrieval and submission of payment documents. The ideal candidate is detail-oriented, highly organized, and capable of managing multiple priorities in a fast-paced environment.
What will I be doing?
• Coordinate, plan, organize and administrate all travel related services like transport and accommodation with consideration of health & safety and efficiency
• S/he is responsible to take special focus on the high demand on discreetness and integrity
• Obtain and administer all travel related documents like visa, insurances, licenses certificates of vaccination and hand over these documents to the demanding parties like traveler, service provider and authorities.
• Verify service provider invoices and preliminary entry.
• Maintaining all travel data (e.g. cost, destinations, times, etc.) in business software.
• Generate region invoicing weekly
• Generate end of month accruals and deferrals
• Post customer payments. Post revenues by verifying and entering transactions.
• Update and maintain receivables by totally unpaid invoices.
What are we looking for?
• High School Diploma or GED required
• A minimum of 2 years of experience in a travel related business environment
• Prior travel coordination experience
• Excellent communication skills and able to interact effectively with individuals at all levels of the organization with a high level of cultural sensitivity
• Proactive, highly organized and good geographical skills
• Have excellent customer relations skills
• Work individually, as well as in a team environment with minimum supervision
• Must have strong organization and time management skills.
• High ability to multi-task with little margin for error
• Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook)
• Excellent written and verbal communications skills.
• Self-motivated with the ability to work independently and within a team.
