ROSEN USA, Inc. based in Columbus, OH seeks to employ a Receptionist for its office location in Columbus, OH. The experienced Receptionist will perform the day-to-day clerical and administrative functions at our Columbus location. The Receptionist will be the on-site go to person for facility related requirements, office coordination and administrative tasks as assigned by management.

Responsibilities:

  • Greet and welcome visitors in a professional manner, determine the nature of their visit, and direct to them to appropriate person within the company.  Provide ROSEN Wi-Fi access if required.
  • Maintain the office, reception and lobby area to ensure they are clean and organized, in collaboration with facilities management.
  • Handle incoming and outgoing mail for the Columbus office.
  • Coordinate and prepare shipments for pick-up and delivery for the Columbus location, as well as receive and distribute incoming shipments to the appropriate person.
  • Coordinate and make travel arrangements for employees and visitors of the Columbus location:  flights, hotel accommodations, ground transportation, rental and fleet vehicles.
  • Support Business Management with administrative tasks related to scheduling and registration of external conferences, seminars, workshops and training.
  • Assist with departmental team event planning as requested.
  • Set up conference calls as required, prepare and book conference rooms for meetings and in-house training as requested.
  • Review employee expense reports (checking receipts/verify necessary documentation), assist with ROSEN Travel, and submit expense reports and other documents to the main Columbus office.
  • Order, receive and stock office supplies for the office and break room area.
  • Order stationery and business cards for office personnel.
  • Arrange catering request orders for meetings/training sessions as required, ensuring the room is clean and stocked in advance. Ensure meeting organizer has returned the room to previous state afterwards.
  • Provide departmental new-hire support.
  • Coordinate and retrieve IT equipment/documents from main Columbus facility associated with IT requests.
  • Book conference room through local property management and keep reservation log.
  • Large and small scale printing and binding requests.
  • Stock marketing material.
  • Track and issue building key fobs to new hires and visitors.
  • Work with facilities to manage vendors as required to manage costs.
  • Ordering flowers and gift baskets in coordination with HR.
  • Facility maintenance requests.
  • Request service for coffee/vending machines.
  • Guest log-in and log-out.
  • Other duties as assigned by Management.

REQUIREMENTS

Local Columbus area applicants only, relocation and/or sponsorship not available.  

Qualification or Skills:

  • High School Diploma or GED.
  • 3-5 years’ prior office administration experience, strong knowledge of administrative procedures and practices.
  • Proficient knowledge of Microsoft Word, Excel and Outlook.
  • Ability to solve problems & look for improvements.
  • Excellent organizational and prioritization skills.
  • Superior written and verbal English communication skills.
  • Professional manner and appearance, excellent customer service and interpersonal skills.
  • Strong attention to detail, ability to work on a computer for extended periods of time.
  • Able to work independently with little supervision, effective team contributor and member.
  • Ability to maintain confidentiality at all times.
  • Understanding about the company’s mission, vision, goals and basic understanding of products and services.
